FAQ
Frequently asked questions
Answers for travel agencies and tour operators: bookings and operations, travel packages and departures, suppliers and margins, commissions, payments and outstanding balances, client CRM and invoicing through 4invoices, part of the 4b2b ecosystem. 4AgencyTravel is the alternative to Lemax, Tourwriter, Ezus and TravelPerk.
Bookings & operations
How quickly can I get my agency running on 4AgencyTravel?
You create your account, add your suppliers and first packages or tours, and you can record bookings the same day. No installation or technical skills are needed — everything is managed from the panel, in your browser. For a larger portfolio of suppliers and rates, full setup takes a few days.
How do I manage bookings and their statuses?
Every booking is a file holding the passengers (type, documents, price) and the service lines — hotel, transport, activity, insurance, guide — each with its supplier, cost, selling price and VAT. The file moves through clear statuses: draft, option, confirmed, partially paid, paid, completed or cancelled. On confirmation the platform checks the seats left on the departure and refuses to overbook; on cancellation it releases exactly the seats that were held.
Can I build travel packages and tours from components?
Yes. You create a package template with a destination, a duration and component lines — transport, accommodation, excursions, insurance — each with a supplier, cost and price. You start from the default markup set on the package and adjust the price on each line. Packages can be cloned, and for every departure you set the date, capacity and price per person and see how many seats are still available.
Can I create itineraries for travellers?
Yes. You build a day-by-day itinerary — title, description, accommodation, meals and transport notes — linked to a booking or to a package, and you can reorder the days. The itinerary is edited separately from the booking lines: if you change a service in the file, you update that day of the itinerary as well.
How do vouchers work?
On each booking you add vouchers of type confirmation, accommodation, transport or travel documents, each with its own code. Vouchers stay linked to the file they were created in, so you can always see which vouchers belong to each booking.
Suppliers, margins & commissions
How do I track supplier rates and the margin on each package?
On every booking line you record the supplier cost and the selling price, and the margin shows on the line. The margin report gives you sales, cost, margin and margin percentage for the period you choose, so you can see where you earn and where the margin is too thin.
How do I calculate commissions?
On each booking you calculate the commission for an agent or a supplier as a percentage of the selling value. A commission can accrue as the booking is paid, and you mark it as paid once you settle it. The commission report groups commissions by type — agent or supplier — and by stage: accrued or paid.
Can I see what is still to collect on each booking?
Yes. On each booking you generate a payment schedule — a deposit as a percentage of the total plus a number of instalments with due dates — and you record the payments received by card, bank transfer or cash. The outstanding balance is calculated on the file, so you always know how much the client still owes.
Payments, clients & data
How do I invoice a booking?
The invoice is issued from the booking through 4invoices.net, the invoicing product of the 4b2b ecosystem, and credit notes are issued the same way. 4AgencyTravel does not send payment requests or reminders to travellers and does not include accounting.
Is a client CRM included?
Yes. Clients can be individuals or companies — for companies you look up the details by tax ID — and each record shows the bookings and quotes for that client. Leads carry a status (new, contacted, quoted, won, lost), a source, an owner and an estimated value and convert into clients, while an accepted quote converts into a booking.
How do I migrate data from Excel or another system?
You start by adding the suppliers, packages and clients you work with today; for company clients the details fill in from the tax ID. For a larger portfolio, we help you with the initial setup during onboarding.
Is client data protected (GDPR)?
Yes. Traveller data is hosted securely and is only reachable through an account. Actions in the platform are recorded in an audit log, and requests from data subjects are handled in line with GDPR.
Subscription, support & ecosystem
How much does it cost and what does the subscription include?
Pricing depends on the plan and the number of users; see the full grid on the pricing page. All plans include booking, package and supplier management, the client CRM and baseline reports — with no 4AgencyTravel commission on your sales.
Can I start without a card?
Yes. The first 6 months are free, with no card and no yearly commitment: you create an account and try the platform without entering a card up front. You move to a paid plan only when you are ready to run your agency in production.
What support do I get?
You get assistance through the in-panel channel, in your local language, for setup and day-to-day operations. For larger agencies we also provide dedicated help setting up packages, suppliers and the booking flow.
How does it connect to the other 4b2b products?
The only direct integration is invoicing: from a booking you issue or cancel the invoice through 4invoices.net. The other 4b2b products — CRM, accounting, notifications — are separate services you can add if you need them, but they do not receive data from 4AgencyTravel automatically.
